As a Clinic Manager, you'll create and maintain an environment where clients, personnel, and stakeholders are treated with dignity and respect. You'll oversee quality management practices, supervise staff, monitor provider schedules, coordinate billing processes, maintain positive relationships with stakeholders, and support local and organizational strategic planning efforts. Our ideal candidate has excellent communication skills, advanced computer skills, and extensive knowledge of healthcare management policies and procedures.

Key Responsibilities:

  • Cultivating Respectful Environment: Create and maintain an environment where clients, personnel, and stakeholders are treated with dignity and respect, fostering a culture of inclusivity and empathy.

  • Quality Management: Maintain necessary quality management practices to ensure all relevant standards are adhered to, upholding the highest standards of service excellence.

  • Staff Supervision: Supervise assigned staff, including performance coaching, evaluation completion, and performance management, nurturing a supportive and high-performing team.

  • Appointment Management: Monitor provider schedules, no-shows, and cancellations, optimizing scheduling efficiency and maximizing client access to services.

  • Front Office Coordination: Coordinate front office billing/check-in/check-out processes and workflows, ensuring smooth and efficient operations.

  • Insurance Verification: Oversee benefit verification for patients, ensuring accurate billing and reimbursement processes.

  • Data Management: Ensure timely data entry into the database and retrieval of data, maintaining accurate and up-to-date records for effective decision-making.

  • Billing Oversight: Complete billing audits and coordinate with the billing department on charges, payments, and adjustments, ensuring financial accuracy and compliance.

  • Chart Management: Oversee filing, quantitative chart review systems, and compilation of chart information, maintaining organized and secure record-keeping systems.

  • Stakeholder Relationships: Maintain positive, professional relationships with referral sources, clients, and coworkers, fostering collaboration and mutual respect.

  • Policy Dissemination: Facilitate education, awareness, and provision of current policies and procedures for team members, promoting adherence to organizational standards.

  • Staffing Support: Assist in identifying staffing pattern needs and filling open positions, supporting leadership in recruiting and retaining talented individuals.

  • Strategic Planning: Participate in local and organizational strategic planning efforts, contributing insights and perspectives to shape future initiatives.

  • Resource Development: Assist with identifying new sources of funding and expanding/enhancing current services, contributing to organizational growth and sustainability.

Education and/or Experience Qualifications:

  • Bachelor's Degree in business management, administration, health management, or a closely related field; OR

  • High School education and four (4) years of experience in healthcare management.

Supervisory Requirements:

  • Communicate the strategic direction of the organization and encourage participation by all associates.

  • Provide leadership and guidance to all aspects of clerical work.

  • Take an active role in monitoring the identification, development, and execution of strategic objectives.

  • Effectively communicate changes and news to all associates to ensure practice.

  • Handle difficult personnel situations directly, with appropriate discretion and Human Resource advice.

  • Champion change and manage the implementation of new ideas.

  • Reinforce team approach throughout functions; support and solicit input from team members at all levels within the company.

Additional Qualifications:

  • Thorough knowledge of confidentiality laws related to treating primary care, mental illnesses, and substance abuse.

  • Ability to manage a team environment and motivate staff.

  • Advanced computer skills.

  • Ability to prioritize tasks/duties and manage multiple tasks while meeting deadlines.

  • Attentive to detail.
