Job Description

Reporting to the Project Manager, the AO Administrative Assistant is responsible for providing administrative support to ensure the operations of the office are running efficiently.

Essential Functions

  • Answering and directing phone calls
  • Dispatch workers to needed areas
  • Organizing meetings and appointments
  • Maintaining a contact list
  • Produce and distribute memos, letters, emails and faxes
  • Assist with operational needs including providing support and direction to employees
  • Maintain recordkeeping
  • Manage supply inventory
  • Handle sensitive information in a confidential manner
  • Organize office paperwork, invoices, reviews and other pertinent documents
  • Responsible for preserving the safety of the facility.
  • All other duties as assigned by the project manager

The AO Administrative Assistant will be a proven leader with the following:

  • Proven admin experience
  • Proficient in MS office
  • Attention to detail and problem solving
  • Strong organizational and planning skills
  • Excellent verbal and written communication skills.
  • Ability to deal professionally and effectively with all types of people.
  • Ability to remain calm in an emergency.
  • Patience and tolerance for repetition.
  • Ability to determine who and what callers are looking for and give instructions.

High school degree or equivalent and two years related experience preferred.
